This Privacy Policy explains our website privacy practices and the standards we apply when handling provider, practice, and patient data.

Medical billing data can include payment, eligibility, claim, remittance, demographic, and clinical documentation details. Our policy separates website information from PHI handled under client agreements and BAAs.

Information We Collect
We collect information in two primary categories. First, we collect information you voluntarily provide, such as your name, email address, phone number, practice name, job title, specialty, claim volume, payer questions, consultation requests, and any details you choose to share through a contact form, email, phone call, scheduling tool, or service inquiry.
Second, we collect limited website and device information automatically, such as your IP address, browser type, referring page, pages visited, approximate location, device type, and time spent on our website. This information is collected through standard web analytics, hosting, security, and performance tools so we can understand how visitors use the site and improve the experience.
When B3CARE provides medical billing, credentialing, denial management, AR recovery, Medicare billing, or other revenue cycle management services to a healthcare provider, we may receive practice data, payer information, claim details, remittance information, and Protected Health Information (PHI) only as permitted by our agreements with that client and applicable law.
How We Use Your Information
B3CARE uses information to respond to inquiries, evaluate service needs, prepare proposals, schedule consultations, provide requested revenue cycle management services, communicate account or service updates, and support our contractual obligations to healthcare provider clients.
We may also use non-sensitive contact and website information to send educational content, billing insights, service updates, and marketing communications. You may opt out of marketing communications at any time by using an unsubscribe link or contacting us directly.

HIPAA Compliance
B3CARE operates as a Business Associate when we create, receive, maintain, or transmit Protected Health Information on behalf of covered entity clients. We execute Business Associate Agreements (BAAs) with covered entity clients when required and handle PHI according to HIPAA, HITECH, applicable BAAs, client instructions, and our internal privacy and security controls.
PHI is used only for permitted healthcare operations, payment, billing, credentialing, denial management, AR follow-up, reporting, or other authorized revenue cycle functions. B3CARE does not sell PHI, use PHI for unrelated marketing, or transmit PHI through unsecured channels outside approved service workflows.
This website Privacy Policy describes B3CARE's general privacy practices. For PHI handled under a client relationship, the applicable BAA and service agreement control how that information may be used, disclosed, retained, and protected.
Data Security
We implement administrative, technical, and physical safeguards designed to protect personal information, practice data, payer records, and PHI in our possession. These safeguards are selected to support confidentiality, integrity, availability, and appropriate access control across the revenue cycle workflows we manage.
Security measures may include encrypted data transmission, secure portals or approved file-transfer methods, role-based access controls, multi-factor authentication, password controls, audit logging, staff training, vendor review, backup practices, and periodic security assessments.
No security system is impenetrable. However, B3CARE maintains industry-standard protections appropriate for healthcare revenue cycle data and regularly reviews privacy and security practices as technology, payer requirements, and compliance expectations evolve.
Third-Party Services
Our website and service operations may use third-party providers for hosting, analytics, scheduling, email delivery, customer relationship management, secure communication, payment-related workflows, cloud infrastructure, and other operational support.
Where these vendors process personal information, practice data, or PHI on our behalf, we require appropriate contractual, privacy, security, and confidentiality commitments. When HIPAA applies, we use vendors or subprocessors consistent with Business Associate requirements and client agreements.
B3CARE does not sell your personal information to third parties for their commercial use.
When We Share Information
We may share information with authorized B3CARE team members, contracted service providers, client-approved systems, payers, clearinghouses, EHR or practice management platforms, and other parties involved in delivering requested medical billing or revenue cycle services.
We may also disclose information when required to comply with law, respond to lawful requests, enforce agreements, protect our rights, investigate security issues, or support a business transition such as a merger, acquisition, or restructuring, subject to applicable privacy and contractual safeguards.
Data Retention
We retain information for as long as reasonably necessary to provide services, maintain business records, comply with legal and contractual obligations, resolve disputes, support audits, and enforce agreements. Retention periods may vary depending on the type of information, the client relationship, payer requirements, and applicable healthcare regulations.
When information is no longer needed, we take reasonable steps to delete, de-identify, archive, or securely dispose of it according to our policies and contractual obligations.
Your Rights
You may request access to personal information we hold about you, ask us to correct inaccurate information, request deletion of personal information where legally and contractually permitted, or opt out of marketing communications.
If your request relates to Protected Health Information maintained by a healthcare provider, we may direct you to that provider because the provider is typically responsible for responding to patient rights requests under HIPAA. B3CARE supports provider clients with authorized workflows, but we do not replace the provider's own Notice of Privacy Practices or patient-facing HIPAA obligations.
Children's Privacy
B3CARE's website and services are intended for healthcare providers, practice administrators, business contacts, and professional users. We do not knowingly collect personal information directly from children through this website.
Policy Updates
We may update this Privacy Policy from time to time to reflect changes in our services, privacy practices, security controls, legal requirements, or healthcare technology environment. When we make material updates, we will revise the Last Updated date above and may provide additional notice where appropriate.
